How to have a Yantra Paalan account and its associated personal data deleted, and what happens to the maintenance records left behind.

How accounts work

Yantra Paalan does not offer self-service sign-up. Accounts are created by your employer's administrator under your organisation's contract with us. The administrator issues your login, sets your role, and can deactivate or delete your account at any time. Deleting the app from your iPhone does not delete your account — it only removes the app from that device.

Because your employer is the Data Fiduciary for the data in its workspace, they control what is stored and how long it is kept. We act as their processor. Both routes below lead to deletion; the first is usually faster.

How to request deletion

Route 1 — Ask your plant administrator (fastest)

Contact the administrator for your plant, usually in the maintenance or IT department, and ask them to delete your Yantra Paalan account. They can do it directly, and they also hold any records about you that sit outside the app.

Route 2 — Email us

If you cannot reach your administrator, or you no longer work at the plant, email us and we will process the request with your former employer.

Please include:

  • The subject line Account deletion request
  • Your full name as it appears in the app
  • The email address or employee ID on the account
  • Your plant or company name
  • Whether you want the account deleted, or the account plus your personal data removed from records where that is possible

Send it from the email address on the account where you can. We may need to verify your identity with your employer before acting — this protects your plant's data from someone impersonating you. Never include your password or PIN.

What happens, and when

We honour deletion requests within 30 days of receiving and verifying them. In practice:

  1. Within 3 working days — we acknowledge your request and, if needed, confirm it with your employer's administrator.
  2. Immediately on confirmation — the account is disabled. Sign-in stops working and push notifications to your devices stop.
  3. Within 30 days — your account and personal profile data are deleted from the live system, along with your device push token.
  4. Within the backup window — deleted data ages out of routine backups as they are overwritten on their normal cycle.

Photos you captured in the app Retained as part of the work record they are attached to, because they are the employer's maintenance evidence. Deleted on the employer's instruction, or when the employer's contract ends.
Work orders, log-sheet entries, spare-part issues and other maintenance records Retained as the employer's business records. Where the employer instructs us to, your name is removed and the entry is shown as an anonymised former user so the history stays intact.

What is kept, and why

Maintenance records are not personal profile data — they are the plant's operating history. Regulators, insurers and safety auditors expect a plant to be able to show what was done to a piece of equipment, when, and by whom. Deleting that history at an individual's request would leave gaps in a statutory record your employer is required to hold.

So, on deletion:

  • the maintenance record itself remains in your employer's workspace;
  • your personal profile — name, email, phone, employee ID, role — is deleted;
  • where your employer instructs us to anonymise, past entries are re-attributed to an anonymised former user rather than removed;
  • anything we must keep for a legal or accounting obligation is kept only for as long as that obligation lasts.

Your employer, as Data Fiduciary, decides where the line falls between erasure and retention for their records. If you disagree with their decision, raise it with them first; you may also complain to the Data Protection Board of India under the Digital Personal Data Protection Act, 2023.

Deleting an entire plant workspace

If you are a customer ending your contract and want the whole workspace and all its data deleted, email support@yantrapaalan.in from an administrator or authorised signatory address. We will offer an export of your data first, then delete the workspace in line with your contract. All data is retained only for the duration of the contract.

Data on your iPhone

Because the app works offline, some entries and photos may still be held on your device waiting to sync. Connect to a network and let the app finish syncing before your account is disabled, otherwise that work is lost. Deleting the app from your iPhone removes its local data from the device but does not affect the account or the records already synced.
